While writing emails, we now have a superset of Google’s suggestions that completes our hurried version of sending emailers. But how do you form a comprehensive emailer which contains all the details and yet is concise?
Also, a HAPPY DIWALI fam!❤️
Let’s go through some situations:
You need a day off:
Hi <client’s name/manager’s name>,
I needed a day off tomorrow ie. the 16th of November’20. ——> Direct Subject
Since this pandemic, we all have been subjected to extreme house arrest, I thought of taking a day off to just relax and maybe help out my mom in the kitchen. ————> Reason/Purpose
Also, with regards to the assignment, I have completed
- Structure
- Research notes
- First draft
I will now work on the final draft before sharing it with you. ———-> Progress
If it does not seem possible, let me know, I would reconsider another day for the same. ——-> Alternative Options
Thank you,

Now, in the aforementioned example, we justified a few aspects which work for any given situation. (Damn! this technical writing has ruined my writing style forever) 🥺
Salutation: Obviously. But please avoid your generic ‘Sir/Ma’am’. Work toward making it personalized (which I guess has been injected to us a thousand times).
Direct Subject: Not talking about the Subject section of the Gmail/Outlook/Ymail but when you start your mail, directly state the reason for that mail. “I wanted to discuss the presentation”, “I wouldn’t be able to make it to the party”, or anything like that. With just the first line the reader knows what to expect.
Reason/Purpose: Specify the reason for your subject. “Since I am working late next week, I wouldn't make it to the party”. or “Since I saw many some pointers to discuss, I hope discussion would make it clearer”.
Progress: State the progress of the tasks if you are asking for some reason to leave. “I wanted to discuss the presentation based on these pointers: A, B, C”.
Alternative Options: When you ask for something, like ‘Subscribe’, also give them an option to ‘Unsubscribe’ in case they aren’t feeling welcomed by your services.

News around writing emails
GPT-3 is on its way to write the emails for you.
The GPT systems are trained on millions of words and phrases, and then generate text inspired by that corpus after being given an input to work from. In this case the system takes as input not just your bullet points, but other information from the email chain and the user’s past preferences.
